Winter Magic Stalls Coordinator (commission basis)

Our mission – To engage the people of Katoomba and the Blue Mountains in a sustainable, vibrant, annual community winter solstice celebration of the arts and creativity centred on Katoomba Street.

First staged in 1994 as a celebration of the winter solstice, Katoomba’s Winter Magic Festival is the largest annual event in the Blue Mountains. We’re an inclusive event and we’re proud to provide our community with a precious day of connection and collective pride. Following on from the delivery of a refreshed version of our event in 2019, we are embarking upon a new period of the festival’s life. 

Katoomba Winter Magic Festival seeks an experienced Stalls Coordinator to manage our busy and popular market of more than 150 stalls, with a focus on handmade goods, interesting food, and local enterprise. The Stalls Coordinator encourages and promotes the involvement of the community in the event with food, retail and art and craft stalls. This includes but is not limited to:

  • All administration such as preparing, updating and reviewing forms, templates, code of conduct, Terms and Conditions; 
  • Coordinating all aspects of the Stalls Expressions of Interest process including: 
  • Registration of sites and stalls 
  • Maintenance of these lists
  • Promotion of the event to potential stall and site-holders
  • Ensuring stallholders comply with Winter Magic's Waste Policies and use environmentally friendly solutions to elements such as packaging and bags provided to customers
  • Convening assessment committee and arrangements
  • Application assessment, site plan development, selection, notification, contracting and payments of all stallholders
  • Investigating and sourcing specialised Stallholders for particular requirements. 

This role is the primary contact for Stallholders for the event across all stages of the event from; design, planning, bump in, event, bump out and post event. In addition, the Stalls Coordinator supervises stallholders, monitors, inspects and enforces safety and site compliance and ensures stallholders comply with our Risk Assessment and Traffic Management Plans. The Stalls Coordinator participates in the post event debriefing and preparation of the vendor post event report outlining process, vendor performance, issues and opportunities.

Desirable experience / qualifications:

  • 2-3 years relevant experience required for this role.

This a contract position from January 2020 until July 2020. Remuneration will be on a generous commission basis. The coordinator must carry insurance.
